GIAF 2025 Participation Regulations
1. General Regulations
- The GIAF 2025 Organizing Committee (hereinafter referred to as the “Organizing Committee”) stipulates that participation conditions stated in this guideline apply to all participants of GIAF 2025.
- For successful and efficient event operation, the Operating Committee may amend any conditions or regulations applied to the participants and distributes revised regulations after any amendments.
- The Operating Committee is not responsible for any damages or losses caused to the participants for violating the participation conditions.
- A participating gallery must guarantee the authenticity of the submitted artworks.
2. Participation Review
- For fairness in the review, the Operating Committee designates a Review Panel (hereinafter referred to as “Review Panel”) composed of the Operating Committee members and external members.
- The Operating Committee has the right to adjust booth size and approve the participation based on the review results of the Review Panel. The Operating Committee may be involved in planning review, booth component, design, and other sectors, and permission to participate in GIAF 2025 may be cancelled if such decisions are not accepted.
- In cases of submitting false information or violating the participation regulations, the Operating Committee may cancel the participation permission at any time. Participants shall be responsible for the costs of deinstalling the artwork due to regulation violation.
- The Operating Committee has the right to request the participants of detailed exhibition plan and prohibit the exhibition of artworks that fail to meet the requirements of the exhibition.
- The Operating Committee individually notifies each participant of the review result and the Operating Committee is not responsible for any disadvantages caused by failure to check the notice.
3. Booth Assignment
- The participant booth means a booth space marked on the finished floor plan, and the booth location is determined by the Operating Committee.
- Participants are not allowed to relocate or change the assigned booth.
- The Operating Committee may relocate the assigned booth or change the booth format when required for operational reasons. The Operating Committee also has the right to adjust entrance, hall, and hallway when necessary.
- Participation in GIAF 2025 is automatically cancelled when booth fee is not paid after the payment deadline.
- Fire hydrants, pillars, and other structures of exhibition venue may be placed inside or outside the assigned booth, and the participants are not allowed to relocate the booth for such reasons.
4. Booth Operation
- Participants are not allowed to lease or transfer all or part of their exhibition space to third party. Any participants violating this policy will be disqualified based on the regulations.
- A participating gallery is not allowed to install artwork or personal furnishings, such as desk and chair, larger than the assigned booth (vertical and horizontal area) or exhibit projects, such as performance, that use an event space outside the booth.
- During exhibition period, replacement of artwork is only allowed outside the exhibition hours.
- GIAF 2025 provides only the booth nameplate. Other captions and labels are not provided.
- A gallery director or gallerist shall be present in each gallery booth and strictly comply with the exhibition hours
5. Artwork Exhibitor
- A participating gallery is not allowed to exhibit or advertise any artworks other than those permitted by the Operating Committee. Any violations may result in a disciplinary measure.
- Each participating gallery shall comply with the number of exhibitors assigned based on the type of booth.

6. Artwork Display
- Installation of promotional materials, such as advertising posters, other than the artwork is not allowed. Distribution of promotional items and the sales of art merchandise are strictly prohibited.
- All submitted artworks shall be exhibited in the assigned space and shall not extend into hallway and spaces beyond the assigned booth area. The artworks installed on the outer wall of booth shall not extend more than 30cm from the wall. The Operating Committee may relocate the artworks when they obstruct visitor flows or involve safety risks.
- The artworks shall remain until the closing time (- 17:00) of the final exhibition day.
7. Artwork Replacement and Removal
- During the exhibition period, artworks shall be replaced before or after the exhibition hours (11:00 – 19:00).
- When removing artworks during the exhibition period, the participants must complete an artwork removal form and submit it to GIAF 2025 Office or person in charge at the exit.
8. Exhibitor Pass
- Participating gallery staff must obtain an exhibitor pass in advance.
- Exhibitor pass is issued for only participating gallery staff, including the gallery director, exhibitor, and gallerist. The exhibitor pass shall not be transferred to others.
- Exhibitor pass shall be worn visibly at all times to assist safety personnel with identification.
- Exhibitor pass holders shall use the designated entrance for exhibitors.
- Persons who bring in and take out artworks must obtain a temporary pass from freight entrance or information desk. The temporary pass shall not be transferred, and it must be worn visibly to assist safety personnel with identification.
- Each gallery receives two parking tickets for exhibitors.
9. Admission
- Admission to exhibition hall is limited to the holders of admission ticket, invitation ticket, VIP card, and pass issued by the Operating Committee. Admission will be denied to those without them.
- The number of invitation ticket and pass provided to the participating gallery is set by the Operating Committee.
10. Provision of Artwork Information
- The artwork information provided to visitors shall be accurate. (caption, artwork lists, etc.)
- The Operating Committee requests transaction information, such as artwork sales status, to objectively assess the growth of GIAF 2025 and report its performance to the public institutions, and the participating gallery shall provide such information. Failure to provide or provision of false transaction information may result in penalties.
- The Operating Committee may request artwork and price-related information before the opening of GIAF 2025 to submit the information to public institutions and Art Bank, and the participating gallery shall cooperate.
11. Electricity Service
- The Operating Committee is not responsible for any losses or damages caused by power outage.
- Participants cannot use their own power connections and must comply with the fire safety regulations.
- Artworks, such as media artworks, that use electricity must indicate the required power when applying for furnishings.
12. Security
- The exhibition halls and exhibition areas are under 24-hour surveillance service, which continues from the first day of artwork installation until the start of artwork removal. However, participating gallery shall be responsible for protection and loss of all exhibited items, related equipment, and facilities.
- The Operating Committee is not responsible for loss, damage, and destruction of artworks.
- From artwork installation day to exhibition closing day, any artworks shall not be taken outside the exhibition halls without an artwork removal form.
13. Payment Terms
- Participants must pay the deposit within seven days of the participating gallery selection. If the deposit is not paid until the application deadline, the Operating Committee may cancel the application.
- Participants must pay the furnishing fee by the deadline.
- GIAF 2025 participation is automatically cancelled when the booth fee is not paid by the booth fee deadline (August 7).
14. Refund Policy
- GIAF 2025 is postponed or payment is fully refunded when it cannot be held due to natural disasters or other extraordinary circumstances.
- Participants shall pay the booth fee and additional furnishing fee until the deadline. If deposit is not paid until the deadline, the permission to participate is cancelled and deposit is not refunded.
- If participation is canceled due to failure to pay booth fee or circumstances of participant, the cancellation fee is as follows :
- Full Refund Until 7 Days from Deposit Payment
- Before 2025.7.31 (Thu) : 50% of Booth Fee is Charged as Cancellation Fee
- Before 2025.8.7 (Thu) : 80% of Booth Fee is Charged as Cancellation Fee
- After 2025.8.7 (Thu) : 100% of Booth Fee is Charged as Cancellation Fee
15. Booth Partition, Design, and Furnishings
- A gallery will be charged repair cost for causing any damages or destruction to the booth partition, design materials, and furnishings.
- All furnishings other than the basic furnishings provided by the GIAF 2025 Office shall be permitted by the GIAF 2025 Office.
- The GIAF 2025 Office does not provide sheet stickers, such as caption and gallery logo, to the gallery.
- If a gallery attaches a caption to its booth partition, sheets other than sheet stickers are not allowed. Use of personal paint, hole-drilling, and any other acts that damage the partitions are prohibited. The gallery will be charged partition repair cost for any violations.
- All attachments (caption, sheet stickers, etc.,) and installations (screws, etc.,) on the partition other than the booth nameplate shall be removed before the removal deadline. The costs incurred to remove the remaining attachments and installations will be charged to the participant.
* The basic partition and furnishings included in each booth are as follows.
- Booth wall (3m (H) X 1m (W), 7cm thick) for each booth type
- If the participant requests to remove the outer wall of the booth, partitions will be provided for the inner space according to the number of removed outer walls.
- If a pillar is placed inside the booth, the Operating Committee provides wall panels to wrap the pillar. - Basic lighting proportional to booth size (Type A-9, Type B-12, Type C-18, Type D-36)
16. Other Provisions
- The Operating Committee may postpone, shorten, or extend the exhibition schedule in cases of natural disasters and force majeure.
- The Operating Committee has the right to expel the participants who violated the participation regulations.
- All legal matters arising from this regulation and exhibition participation shall be governed by the laws of the Republic of Korea. In cases of any legal dispute, the competent court shall be the Changwon District Court.
